Overview of company

This role covers both Heath House Conference Centre and Heath House Kitchen.

Heath House Conference Centre was established in 2005, and provides meeting rooms, training rooms, serviced offices and virtual offices. Please use the conference centre website to gain an understanding of this side of the company https://www.heathhouse-conference.co.uk/

Heath House Kitchen is a new restaurant which launched on 20th May 2021. All food is freshly prepared and cooked onsite using a wide range of ingredients.  The restaurant is a relaxed and family friendly. We place a huge emphasis on providing our customers with a warm welcome and a high level of friendly and caring customer service.  

Purpose of position

The purpose of the role is to provide support for the managing director, preventing interruptions, and allowing time for the director to carry out business development. Preventing interruptions is a key purpose of the role. Consequently, your daily duties will be variable and will include general reception duties, customer service, customer enquiries, administrative duties, organisational support and elements of hospitality.

This role will initially be for a fixed term of 6 months with a view to extending the contract if it successfully facilitates business development.

Level

Previous experience in a similar role is preferred.

Responsibilities and skills or requirements

  • To protect director’s time and prevent interruptions by acting as a gatekeeper. This will be by monitoring e-mails, phone calls and in-person enquiries from staff and customers; filtering those that can be dealt with by you and those that need the attention of the MD.
  • Reception duties: answering the phone, dealing with enquiries and bookings for the conference centre and the restaurant. Providing information and support to customers over the phone and in person.
  • Administrative duties: Processing, confirming, and tracking bookings for the conference centre and restaurant and ensuring that all relevant information is available in advance of the booking.
  • Administration of the Uttoxeter Business Networking group; sending out reminder e-mails, compiling the delegate list, sending out receipts/statements.
  • Finance duties: Generating and tracking invoices, credit control, entering data onto Xero. Processing petty cash. Collating wage information from time sheets and other sources (e.g. sick notes, holiday requests) for accountants to process, filing information and printing wage slips.
  • Hospitality elements: Hospitality is not the main purpose of the role, but when other staff are busy, you will answer the door, welcome guests, deal with in-person enquiries, deliveries and other requirements, and occasionally provide teas, coffees or other hospitality support.

Hours

Hours: 16 hours: 4 days per week

Days: Tuesday to Friday

Times: 9:30am to 1:30pm (or 10am to 2pm)

There is a small amount of flexibility on the start time. Discuss this at the point of application.
